About the Position
CC Environmental, LLC is seeking a detail-oriented Project Billing & Contracts Specialist to support project invoicing, contract administration, and project accounting. This position plays a critical role in ensuring accurate and timely billing for private, commercial, and government-funded environmental consulting projects.
The ideal candidate is highly organized, excels in Microsoft Excel, and enjoys working with data, contracts, budgets, and project billing.
Primary Responsibilities
• Review, reconcile, and process employee time logs for project billing.
• Prepare accurate invoices and supporting documentation for private, commercial, and government-funded projects.
• Maintain project billing records, contract balances, budgets, and remaining project funding.
• Analyze billing data using Microsoft Excel and prepare reports to support project billing.
• Review billing information, identify discrepancies, and ensure invoices are accurate before submission.
• Communicate with project managers to obtain timely employee time records and billing information.
• Process Oklahoma Department of Transportation (ODOT) project billing using the TOPS system (training provided).
• Edit, organize, combine, and format billing packages and supporting documentation using Adobe Acrobat.
• Prepare customer statements and assist with collections.
• Maintain accurate project accounting and contract records.
• Perform other accounting and administrative duties as assigned.
Qualifications
• Advanced Microsoft Excel skills are required, including formulas, XLOOKUP/VLOOKUP, pivot tables, sorting, filtering, and data analysis.
• Experience with project billing, contract administration, project accounting, bookkeeping, or accounting.
• Strong analytical, organizational, problem-solving, and communication skills.
• Exceptional attention to detail and the ability to reconcile billing information and identify discrepancies.
• Experience using Adobe Acrobat to edit, organize, combine, and format PDF documents.
• Experience with QuickBooks Desktop is preferred but not required. Training will be provided.
• Experience working with engineering, environmental consulting, construction, or government-funded projects is preferred.
Education & Experience
We value practical experience and technical skills over formal education. A degree in Accounting, Business, Finance, or a related field is welcomed but not required. Candidates with demonstrated experience in project billing, advanced Microsoft Excel, and contract administration are strongly encouraged to apply.
